Booking an accommodation
In order to make your hotel reservation, we collect the data required for booking. These are the names of the customer, the traveler(s), telephone and fax number, e-mail address, address and credit card number if applicable, as well as arrival and departure date, the selected hotel, room categories, cancellation conditions and the IP address.
The collection and processing serves exclusively to fulfill the contract. Regardless of the location of the hotel, the data will also be forwarded to reservation systems that may be operated outside the EU.
If you make payments to eHotel AG via PayPal or credit card, the data will be transmitted to our payment service provider.
Messages from the hotels related to your reservation will be forwarded to you before arrival – partially automated.
Email inquiries
The questions addressed to us on existing bookings, orders or general inquiries are stored and processed on our own servers in Germany for the fulfillment of the contract. Access is limited to employees entrusted with processing. Business correspondence is stored for 6 or 10 years in accordance with the legal regulations and then deleted. This applies to emails to personal and department accounts
Inquiries by phone
When you call our service team, the phone call can be overheard or recorded for training purposes or for quality management. Recorded calls will be stored and automatically deleted for a limited time unless we have a legitimate interest in keeping such records for a longer period of time, e.g. to detect fraudulent activities or for legal purposes.
archiving
As part of the legal regulations, we are required to document and archive business processes (accounting / HGB). Data that is not covered by these archiving obligations is regularly deleted; E.g. credit card details after the booked departure date.
